Everything Jobdeck can do, in plain English. How to get started, the quote-to-paid workflow that runs the whole thing, and a full map of every screen in the web dashboard so you always know where a job, a dollar, or a licence lives.

Getting started

Jobdeck comes in two halves that share one login and one set of data:

  1. Sign in. Use the same email and password as the phone app. First time on the web? Create an account, then check your email for a 6-digit code to verify it. Forgot your password? Use the reset link on the sign-in screen.
  2. Set up your business. On first run you name your business. This is the name that prints on your quotes and invoices. This is also the moment your 14-day free trial starts.
  3. Fill in Business settings. Add your ABN, licence number, logo and bank details (Setup → Business settings). The ABN is the one that matters most: without it none of your invoices are valid tax invoices, and a business customer has to withhold 47% of what they pay you and send it to the ATO instead. Jobdeck also checks each invoice as you raise it and tells you if something the ATO needs is missing, such as the customer's name or ABN on a sale of $1,000 or more.
  4. Add your crew. Invite workers by email (Setup → Crew). One subscription covers your whole team.

Finding your way around

Who sees what (roles)

Everyone on your team has a role, and the dashboard only shows each person the screens their role allows:

Your trial & subscription

One subscription covers your whole crew, on both the phone app and this dashboard.

You subscribe on the Plan page in the web dashboard, where you can also update your card and pick up past invoices and receipts. If your trial ends before anyone subscribes, the dashboard goes read-only: you can still open every job, quote, invoice and report and download all your data from Reports. You just can't add or change anything until the subscription starts. The things Jobdeck does on its own pause too: invoice chasing, service reminders, recurring jobs, scheduled report emails and accounting sync all wait while the account is read-only. Nothing is ever deleted, and it all comes straight back the moment it's active. Check your status any time under Setup → Plan.

Test mode is safe

Anything that talks to the outside world (accounting sync, card payments) sits in test mode until you add your own keys under Setup → Integrations. Test mode won't touch real money or your real accounting file, so you can look around without worrying.

The core workflow: quote → job → paid

Almost everything in Jobdeck hangs off one path. Learn this and the rest falls into place:

  1. Enquiry comes in. A lead fills in your public "request a quote" form (or you just add them). It lands in Sales → Enquiries; one click turns it into a customer.
  2. Quote it. In Sales → Quotes, hit New quote, add line items (or pull them from your Price book), and Send. Your customer gets a link they can accept with their name as a signature. You can even offer Good / Better / Best options.
  3. Quote accepted → job created. When a customer accepts (or you mark it accepted), Jobdeck automatically raises a Job. Give it a date and assign crew from Work → Schedule.
  4. Do the work. Your crew run the job from the phone app. Site diaries, photos, checklists, safety sign-ons. You watch progress from Work → Today and the Job screen.
  5. Track the costs. Materials, supplier bills and labour land against the job (Job → Costs), so you can see the real profit in Money → Job costs.
  6. Invoice it. Raise an invoice from the job, from Sales → Invoices, or do a whole batch at once in Sales → Billing run. Send it, and your customer can pay by bank transfer, PayID or card link.
  7. Get paid. Chase anything outstanding from Money → Who owes you (aged oldest-first, one-click reminders). Mark it paid, and it flows into your reports.

Everyday tasks, quickly

Schedule a job & assign crew
Work → Schedule → click a job's Schedule button → set date, time and tick the crew. Two or more on a job? Pick a site leader.
See where money's stuck
Work → Job board. A card-per-job wall that flags anything sitting too long, with the dollar value on each column.
Chase overdue invoices
Money → Who owes you → Send reminder next to any unpaid invoice. Turn on automatic chasing in Business settings.
Invoice a pile of jobs
Sales → Billing run → filter to Done, tick the jobs, choose one-invoice-per-job or per-customer, Create invoices.
Approve hours & leave
Money → Crew hours → step through weeks, approve leave and reimbursement claims, download the payroll CSV.
Keep licences current
Setup → Licences. Add each ticket's expiry and Jobdeck warns you before anything lapses. Same idea for gear under Plant & equipment.
Stay WHS-compliant
Setup → Toolbox talks (digital sign-on) and Setup → Incidents (tells you the moment something's notifiable).
Connect your accounting
Setup → Integrations → Connect Xero, MYOB or QuickBooks; take card payments with Stripe or Square. Push customers and invoices across with Sync now.
Rebook recurring work
Setup → Recurring jobs (auto-raises the job) and Sales → Service reminders (chase smoke-alarm tests, test & tag, etc.).

Today /

What it's for
Your morning cockpit. Cash flow, who's on site, what's owed, and a jump to the next job.
Controls
Three Cash Flow toggles (Overdue / Due soon / Collected · 30d) add or remove each bucket from the "Money in play" total.
Buttons
New job, Open (next job), Open the schedule. None change anything on their own.
On the page
Greeting + on-site/crew counts; Cash Flow panel; money-owed and collection-rate gauge; "Today at a glance" tiles; Next job; On-site now, Missing diaries and Live job costs lists.
Takes you to
Jobs, a specific Job, the Schedule.

Chats /chats

What it's for
Messaging between the people of your business, one to one or in a group. Separate from the Messages you send customers, and it only ever reaches your own crew. The owner cannot read a conversation they are not in.
Controls
A search box over your own conversations; the Show when I am in the app and Show my last seen switches live on your Profile and are symmetric (switching yours off hides other people's from you).
Buttons
New chat (a person or a group), Send, a photo button, Remove on your own messages, Block and Report on a colleague's. Group admins get Rename, Add people and Remove.
On the page
Your conversation list with unread counts and who is online, and the open thread with typing and read ticks.
Takes you to
Reported messages (owners and admins, from the bell when a report lands).

My card /my-card

What it's for
What your crew sees about you in this business: your photo, a contact number, your job title and a short status line ("On leave until Monday").
Controls
Photo upload (PNG or JPEG), contact number, job title, status text. Managers can set somebody's job title from Crew; only you can set your status.
Buttons
Save, Remove photo.
On the page
Your card as the crew directory shows it.
Takes you to
Nothing else.

Reported messages /reported-messages manager

What it's for
The one place an owner or admin sees a staff message they were not sent: a single message that a crew member reported, with who sent it and the reason given. Never the rest of the conversation. The person the report is about does not see it, even if they are an admin.
Controls
Open / Handled tabs.
Buttons
Mark handled, Put back on the list. Both are written to the activity log with who did it.
On the page
Each report: the message, who sent it, who reported it and when, the reason, and who handled it.
Takes you to
Nothing else. Reviewing a complaint is deliberately a sit-down job on the dashboard.

Schedule /schedule

What it's for
Your weekly dispatch board. See the week by day, give unscheduled jobs a date, and assign crew.
Controls
Week nav (Previous / This week / Next); a calendar-subscription link; in the schedule dialog: date, start time, crew tick-boxes and a site-leader picker (when 2+ crew).
Buttons
Print run sheet; Copy link / Get a new link (rotates the calendar feed); per-job Schedule → then Save or Move to waiting list.
On the page
A "Waiting for a date" tray and a 7-day grid of job chips (number, title, value, time, customer, crew), plus leave bands.
Takes you to
A specific Job.

Jobs /jobs

What it's for
The master list of every job. Search, filter, bulk-update status, create new jobs, open one.
Controls
Search; Status (All / Quoted / Scheduled / In progress / Done / Cancelled); "Only mine"; "Archived"; Tag; Clear filters. Bulk bar: "Change status to…".
Buttons
From template, New jobCreate job; bulk status change (with Undo); Load more.
On the page
A sortable table. Job (number, title, customer/site), Status, Scheduled, Crew, with tick-box selection.
Takes you to

Job board /board manager

What it's for
A card wall where each job sits in a column by its own status, so you can see where work, and value. Is stuck.
Controls
"Manage queues" reveals a panel to add or delete your own columns.
Buttons
Add queue, per-queue Delete.
On the page
Columns with a count and total value; job cards showing days-waiting and value, flagged orange (waiting) or red (30+ days stale).

Job focus /job-focus

What it's for
The week's scheduled work as one card per job (who's on it and when). The by-job companion to the Schedule board.

Day route /day-route

What it's for
A daily run sheet. The day's stops in time order, openable in Google Maps.
Controls
A route-date picker.

An ordered list of the day's jobs with time, customer and site address.
Takes you to
A specific Job; Google Maps.

Tasks /tasks

What it's for
A shared office to-do list for non-job work (order parts, ring the strata manager). Optionally due-dated, assigned or linked to a job.
Controls
Filter tabs (Open / Mine / Done); an assignee picker in the add form.
Buttons
Add task; tick to complete; Delete.
On the page
Quick-add form, then task rows with due date (overdue-flagged), assignee and a link to the job.
Takes you to
A linked Job.

Site diaries /diary manager

What it's for
Chase missing diaries, for a chosen day, which crew on a live job haven't written theirs up yet.
Controls
A date picker and a "Today" button.
On the page
A "Missing diaries" list of crew and the job they owe it on, or "Everyone's up to date".

The relevant Job.

Job detail /jobs/:id

What it's for
The full record for one job. Everything about it lives behind ten tabs.

What it's for
See every quote at a glance and knock up a new priced one to send.
Controls

What it's for
View a full quote, build Good/Better/Best options, send it, and record the customer's decision.

What it's for
See money in vs owed, and quickly raise, send and mark off invoices.

What it's for
Open one invoice to send it, chase payment, take a card payment, void it or issue a credit note.

Billing run /billing-run manager

What it's for
Turn a batch of finished jobs into invoices in one pass instead of one at a time.

Status filter (defaults to Done); grouping. "One invoice per job" or "One per customer".

Create N invoices (raises them); select rows / select-all; Load more.

A jobs table to tick, and a result banner listing the invoices created (with any skipped jobs and why).

What it's for
Search your customer list and add new customers.

What it's for
One customer's whole history. Jobs, quotes, invoices, notes, plus edit, merge, statement and portal-link tools.

What it's for
An inbox for public "request a quote" submissions that you convert into customers or archive.

Messages /messages manager

What it's for
A desktop SMS inbox. Read customer text replies and answer them from a keyboard.

Service reminders /service-reminders manager

What it's for
A work-list of recurring compliance jobs worth rebooking (smoke-alarm tests, RCD testing, test & tag) so you can chase the repeat revenue.
Buttons
New reminder (with quick-fill type chips) → Save; per-row Booked / done, Dismiss.
On the page
A "due now" count, the add form, and reminder rows (service, customer, due date, texted-status).

Money

Who owes you /receivables manager

What it's for
Every unpaid invoice, oldest debt first, so you can chase the money.
Controls
Sort by Customer, Overdue (default) or Owed.
Buttons
Per-row Send reminder (emails the customer).
On the page
"Total owed" plus aged buckets (Not yet due, 1–30, 31–60, 61–90, 90+ days) and a table of unpaid invoices.

Job costs /costs manager

What it's for
Each job's real profit. Billed to the customer minus materials, supplier bills and labour.
On the page
A warning if your labour rate is $0 (profit would look too high), then a profit card per active job breaking down billed / materials / supplier / labour.

Business settings (to set your labour rate).

Supplier invoices /supplier-inbox manager

What it's for
Review supplier invoices forwarded to a special email address and file each against the right job as a cost.
Controls
A "File against job…" picker per item.
Buttons
Get my forwarding address / Copy; per-item Assign (files it as a cost) or Dismiss.

Reports /reports manager

What it's for
A hub of financial reports and exports for you and your bookkeeper.
Controls
Date ranges for BAS/TPAR and GST; GST basis (Cash / Accrual).

Download BAS pack (ZIP), TPAR (CSV), Payroll CSV, Full data export.

SOPA register /sopa-register manager

What it's for
A business-wide register of the progress claims you have marked as Security-of-Payment claims. Your reference if a claim ever goes to adjudication.
Which states
Jobdeck carries the statutory endorsement wording for NSW, QLD and VIC. Raise a claim for any other state or territory and Jobdeck says so on the document itself: the endorsement is not available yet, so it may not meet that state's requirements for a statutory payment claim. Check the Security of Payment legislation that applies where you are. Jobdeck is a tool for producing these documents, not legal advice, and it does not lodge anything with a regulator.

Scheduled reports /scheduled-reports manager

What it's for
Have a chosen report emailed as a PDF to you or your bookkeeper on a recurring schedule.

Business toolkit /business-toolkit manager

What it's for
Replay your last three months of real profit under what-if cost/price changes, not a forecast, a "how would that have gone".
Controls
Three sliders (−50% to +50%): materials cost, labour cost, sell price.
Buttons
Reset to actual.

A month-by-month result: adjusted profit and margin with a marker for what actually happened.

Crew hours /hours manager

What it's for
Review the crew's hours for a week from their site diaries, and approve leave and reimbursements before payroll.
Controls
Week navigation.

Download payroll CSV; Approve/Decline leave; Approve/Decline and Mark paid reimbursement claims.
On the page
A weekly timesheet (daily minutes, over-hours flagged), leave requests and reimbursement claims.

Setup

Crew /crew

What it's for
Invite workers and manage who's on the team, their role, and what managers can access.
Buttons
Send invite (with an optional accountant seat); Resend / Revoke pending invites; Make admin / Make worker / Remove; per-permission tick-boxes (owner only).

An invite form, pending invites, and the member list with an owner-only permission grid.
The free accountant seat
Tick accountant seat when you invite your bookkeeper or accountant. It is free and never counts towards your band, and you can have two of them. The seat is read-only: they see reports and the full data export, and nothing else. That is exactly why it is free, so if you later give one of them wider access they become an ordinary user and start counting towards your band like anyone else. Invite a third and Jobdeck tells you at the moment you send it, rather than letting them find out when they try to join.

Price book /price-book manager

What it's for
Reusable priced items and kits that drop straight into a quote.
Controls
Search; a markup-vs-margin toggle in the new-item form.
Buttons

Job templates /job-templates manager

What it's for
Reusable job types (title, description, materials, checklist) to raise a new job in one step from the Jobs page.

Checklist templates /checklist-templates manager

What it's for
Write a reusable checklist once, then apply it to matching jobs in one tap.

Custom fields /custom-fields manager

What it's for
Extra data fields you track on every job and customer (meter number, strata number, NMI…).
Controls

Message wording /message-templates manager

What it's for
Reword the automatic texts and emails Jobdeck sends on your behalf, with a live preview.

Recurring jobs /recurring manager

What it's for
Repeating maintenance work that auto-raises a job on a schedule (smoke-alarm tests, servicing).

Licences /credentials

What it's for

Contractors /contractors manager

What it's for
A subbie registry with each contractor's ABN validated. A missing or invalid ABN is flagged (47%-withholding risk).

Plant & equipment /plant manager

What it's for
A WHS register for vehicles, tools and test gear. Tracking rego, insurance, service and calibration due dates.

What it's for

What it's for

Integrations /integrations manager

What it's for
Connect Jobdeck to the accounting and payment software you already run. Everything stays in safe test mode until you add your own keys.
Accounting
Xero, MYOB, QuickBooks. Connect, then push customers and invoices across with Sync now.
Payments
Stripe, Square. Let customers pay an invoice by card; PayPal is on the way.
Buttons
Connect (opens the provider's secure sign-in), Sync now, Disconnect. Each card shows a Live or Test mode pill and, until keys are set, which keys to add.

Business settings /settings manager

What it's for
The details, rates and preferences that print on your quotes and tax invoices and drive Jobdeck's automations.
On the page

Plan /plan

What it's for
Your subscription status and how to subscribe.
On the page
Your plan, status and access; your team size and what counts towards it; the date your subscription renews, or ends if you have cancelled; and the free-trial-ends date while you are still trialling. This is where you subscribe, change band and cancel. Billing & invoices opens the payment provider's own portal for your card, invoices and receipts. If a payment has failed you are told here, with access continuing until the period you have paid for runs out. Also the price ladder, what you will never be charged for, and links to Privacy and Terms.
Read-only
If the subscription lapses you keep full read access: every job, quote, invoice and report stays open, and the full data export on the Reports page keeps working. Only adding and changing is refused. The automations pause with it. Invoice chasing, service reminders, recurring jobs, scheduled reports and accounting sync stay quiet until you subscribe again.

On the phone app

The Jobdeck phone app is the field half of the product. It shares one login and one set of data with the dashboard, and it changes to suit your role. The crew get a simple app built for the tools, the boss gets a command centre with everything the dashboard has.

Getting in

  1. Sign in or create an account. Same login as the web dashboard. Enter your email and password, or tap Continue with Apple / Sign in with Google. New accounts need a password of at least 8 characters.
  2. Verify by email code. Jobdeck emails a 6-digit code, punch it in. Didn't turn up? Hit Resend code (short cooldown).
  3. Set yourself up (starts your trial). Enter your name, then Create a business and name it, that starts your 14-day free trial and lands you on the Today tab as the boss.
  4. Joining a crew? Your boss invites you from Team and sends a code or a link. Tap the link (it opens the app) or choose I have an invite and paste the code, then Join business. You still make your own account and verify by email first. The code just attaches you to the business.

A worker's app is four tabs, with no dollar figures and no clutter:

Today
Your next job with a big Navigate (opens Maps) and I'm on site button, plus quick actions. Fill in a diary, my hours, claim money back, ask for a day off, and the rest of today's jobs.
Diary
Your daily paperwork list, which jobs still need writing up, what's saved, and what's waiting to sync.
Hours
Your worked hours for the week, built automatically from the diaries you write (no separate clock). Flick between weeks; tap a day to see the jobs behind it.
Me
Your details and one-tap tools. Expenses, leave & RDO, my hours, tickets & licences, location sharing on/off, and sign out.

Your day on the tools, in the app:

  1. Heading out? On Today, tap On my way to text the customer an ETA (15 / 30 / 45 min), and Navigate to open Maps.
  2. On site, open the job for the address, description, customer, your crew and the safety docs (SWMS). Add materials or snap photos as you go.
  3. Write the diary. Start/finish times (or tap Clock on / off now), a break, notes (dictate with the mic, tidy with one tap) and site photos. It saves on the phone and syncs when you've got signal, so no reception is no problem.
  4. Your hours build themselves from those diaries, just check them on the Hours tab.
  5. Out of pocket? Claim it back. Amount, category (fuel / materials / tools / parking), snap the receipt, link it to a job, send. It goes to payroll.
  6. Need a day off? Ask for leave or an RDO (annual / sick / RDO / unpaid). It goes to the boss to approve.

A calm command centre: the day's shape ("3 jobs on · 2 on site"), quick actions (new quote, raise invoice, assign a job, match a bill), who's on which job, and a "needs attention" list. Crew to plan, jobs to invoice, missing diaries, quotes to chase.
Jobs
The full job list with search and filter chips (All / Scheduled / Active / Done / Quoted), and a + to create a job.
Money
Owed to you with an ageing breakdown, raise/view invoices, and the books, quotes, invoices, reports, payment details. (Hidden unless you have money access.)
Crew (Team)
The "prep for the boss" desk. Jobs to get on the board, who's free or on site, finished jobs ready to invoice, and tools like purchase orders, team hours and permissions.
More
One organised home linking to everything else. Grouped Work / Sales / Money / Setup exactly like the dashboard (quotes, billing run, receivables, reports, SOPA, price book, templates, contractors, plant, toolbox talks, incidents, licences, integrations, plan and settings). Items appear based on your permissions.

Everything in the site map above is reachable on the phone too, through More. The phone and the dashboard are two windows onto the same business.

These are the no-login pages Jobdeck creates for the people you work with. They show your business name, never Jobdeck's branding, and never expose your costs, profit or crew.

Who gets it
A customer you sent a quote link.
They can
Read the quote and Accept it by typing their name (a legal e-signature). Tiered quotes let them pick Good / Better / Best; classic quotes let them tick optional extras with the total updating live.

Who gets it
A customer given the status link for one job.
They see
Read-only: job status, next visit, the quote, approved variations, invoices (paid/unpaid) and job photos.

Who gets it
A repeat customer given one lasting account link.
They see
Every quote, job and invoice they've had with you, and a "View & accept" button on any open quote.

Variation. Approve online /variation/…

Who gets it
A customer sent a variation (extra or changed work).
They can
Approve it with their name, or Decline. The paperwork that means you get paid for extra work.

Who gets it
A lead following your public "request a quote" link (website, Facebook).
They can
Send their name, phone, email and message straight into your Enquiries inbox, no login.
